General
Background checks only be carried out where permitted by local laws and consistent with local custom.
Staff should complete such form(s) as are required by law to authorize or consent to the relevant background checks.
Documentation of the background checks must be retained throughout the employment lifecycle.
If a pre-employment background check provides negative findings, this information may be used as part of the hiring decision but should not dictate hiring outcomes.
Any legally required background checks must be completed before the employment start date, unless an exception has been approved by the Chief People Officer.
Standard Checks
Standard checks are carried out for all new joiners and include:
Identification check
Right to work check
Employment verification - a minimum of 3 years employment history where applicable
Legally required background checks
Additional Background Checks
Where it is considered proportional (taking into account, for example, the sensitivity of the information to be accessed) additional background checks, such as criminal record and financial checks, may be requested. By way of example, additional background checks may be required for an employee to be able to access:
certain customer systems / premises or
certain types of information.
These checks will be considered on a case by case basis and approved by the Global HR Director, and may be required as part of the hiring process or as a result of role changes.
In Summary
All statutory employees will require their right to work in the local country checked and should have an employment reference check which should be for 3 years of employment history; before they work for Digital Science. Senior checks include character references, these are carried out by the manager outside of this process.
4. Systems
Zinc is used to complete both right to work and background checks globally. You can find information on Zinc and detailed information in our Data Protection Impact Assessment here.
Trinet is used by DSRSI and requires a mandatory I9 Identity right to work check
DSRSRL’s local legislation does not allow them to take employment references. Their right to work checks are carried out in person and so they will not utilise the Zinc platform.
5. System Access
Access to the Zinc platform is limited to People Partners and Specialists.
6. Process
For new joiners the Zinc check is initiated after acceptance of the verbal offer.
