If your team member has informed you about their resignation:

  1. Ensure they share their resignation in writing.

  2. Check their notice period and confirm their last working day.

  3. Acknowledge their resignation and inform the People Team right away (if not already informed).

  4. Agree on a clear handover plan to ensure key tasks and responsibilities are wrapped up.

  5. Work with them on how and when to inform the wider team.

The People team will trigger the offboarding process in Bob. It will then prompt IT to begin the removal of system access on colleague’s last working day. The IT team will also ensure return of equipment.

Once the People team initiates the offboarding process in Bob, you will be asked to approve the termination details: 

  • Remaining time off balance = The remaining time off balance to be paid to the colleague upon termination. Applies to colleagues in countries with contractual holiday entitlements i.e. United Kingdom, Germany, Romania, Netherlands, Denmark, Spain.

  • Termination date = The last day that colleague is contractually employed/contracted by the company (pay though date).

  • Last day of work = The last day the colleague is working. If this day differs from the Termination date the system will automatically put them on Garden Leave and remove access to Jumpcloud at 12 midnight US Eastern time.

  • Leave Type = Termination

  • Leave Status =

    • Regrettable - Departure is viewed as a loss and had an impact on the business.

    • Non-Regrettable - Departure is considered neutral or beneficial to the business. Often includes under-performers, where culture & values are not aligned or that can easily be replaced.

  • Leave Reason =

    • Voluntary: Resigned, Resigned- Better offer, Mutual Agreement (Separation Agreement), End of contract, Retired

    • Involuntary: Probation fail, Redundant, Dismissed, Dismissed - Disciplinary, Death

Additional notes:

  • For the USA based colleagues the final pay timing depends on state law.
